Why Report Options May Differ from Survey Options

Reports sometimes display labels that do not match the current options in your survey. This guide explains how to keep your report charts accurate and consistent.

How to Access

  1. Click Flows in the main menu.

  2. Select the specific flow you want to edit.

  3. Click the question you need to adjust.

  4. Click the Define Key tab within the question settings.

This ensures that the text shown to users in a survey matches the data category in your reports. If you change the text of an answer option without updating its key, your charts may continue to display the old version.

  1. Open the question settings.

  2. Navigate to the Define Key tab.

  3. Review the current answer options in the left column.

  4. Review the defined keys in the right column.

  5. Update the keys to match the new option text exactly.

Result: The system maps new survey responses to the correct category in your charts.

  • Failure to update the key often results in the report displaying old values.

  • Inconsistent keys can cause the system to separate data into two different categories on the same chart.


 Standardizing Keys for Multi-language Flows

This allows you to aggregate responses from multiple languages under one label in your reports. This prevents your charts from splitting results based on the language the respondent chose.

  1. Identify the default language of your flow.

  2. Open the Define Key settings for the question.

  3. Select a secondary language from the language settings.

  4. Change the option key for the translated text to match the key used in the default language.

  5. Repeat this process for all secondary languages.

Result: All responses are grouped under a single label in the chart regardless of the language used by the respondent. This maintains the integrity of your data.

  • Example: If the default language is English, the option key for "Çok İyi" (Turkish) should be "Very Good."

  • Consistent keys ensure that report labels remain in your primary reporting language.


Limits / Notes

  • Historical Data: Changing an option key only affects data collected after the change. Responses collected before the update will remain under the old key. This may cause a split in your reports where both the old and new keys appear.

  • Dynamic Data: Consistent keys are necessary to merge data from different flow versions into a single chart.

  • Key Validation: Always verify that keys match the default language text exactly. Small differences in spelling or casing can cause reporting errors.


FAQs

Why does my chart show an option that I already deleted from the survey? The chart displays data based on the keys stored in the system. If you collected responses for a deleted option, that data remains in your report.

Can I change the report label without changing the text the user sees? Yes. You can keep the survey option text as it is and only modify the value in the Define Key column. The report will use the key as the label.

Do I need to update keys every time I fix a typo? If you want the report label to reflect the corrected spelling, you must update the key.
